Building a Multi-Source CRM for Lead-to-Renewal Sales Operations
Overview
Designing a centralized CRM workflow that brings leads from multiple acquisition and operational sources into a structured sales process, then connects that process to order, support, invoicing, payment and renewal work. The client is referred to here as a global business. No client legal name, brand name, staff names, or customer records are published.
The Business Challenge
The business required a centralized CRM workflow capable of bringing leads from multiple acquisition and operational sources into a structured sales process, while maintaining a unified party record and supporting the journey from initial enquiry through order, payment and renewal.
Lead Intake Architecture
Incoming records can enter the CRM from the website or API, an existing database, Facebook, Google Ads, Excel/CSV import, and manual creation. Those sources feed a single lead-intake layer rather than remaining in separate lists.
The Solution
Connect Aura Tech designed and built a CRM workflow that accepts leads from multiple sources, processes and deduplicates incoming records, maintains a centralized party master, automatically allocates leads, and supports sales-executive calling, follow-up, email and WhatsApp communication. The workflow tracks lead-stage progression from Lead to Interested to Materialized to Order, and connects sales activity to downstream support, invoicing, payment and renewal processes. Payment collection and renewal are supported as workflow stages; they are not described here as fully automated.
CRM Workflow
Lead intake
Incoming records enter through website or API intake, an existing database, Facebook, Google Ads, Excel/CSV import, and manual creation.
Deduplication
The intake layer processes incoming records so duplicate or overlapping contacts can be reconciled before they become separate working records.
Party master
A centralized party master holds the unified party or customer record used across the later sales and post-sale stages.
Auto allocation
Processed leads can be automatically allocated to a sales executive rather than remaining in an unassigned intake list.
Sales executive workflow
Assigned work supports calling, follow-up management, and email or WhatsApp communication as part of the sales process.
Stage progression
Lead status moves through Lead, Interested, Materialized, and Order. Additional stages are not claimed.
Order to renewal
After Order, the workflow supports support, invoicing, payment, and renewal as connected operational stages.
Order-to-Renewal Lifecycle
After a lead reaches Order, the workflow supports support handling, invoicing, payment, and renewal as connected operational stages. Automated payment collection and automated renewal are not claimed.
Technology Stack
The application layer was built in PHP 8.3/8.4 on Laravel 13, with Blade and Livewire for the interface and Tailwind CSS for styling. PostgreSQL stored application data, Redis and Laravel Queue handled background work, and AWS S3 provided file storage. Email used SES / ZeptoMail. A Laravel REST API and Laravel Auth with RBAC supported access control. Laravel PDF generated documents. Application hosting was on AWS. Source control used GitHub. Cursor and Claude Code were used as development and AI-assisted engineering tooling, not as production runtime services. Planned mobile access is PWA-first; a native app is not claimed as part of this delivery.
Technologies
Sales Workflow
Allocated leads are assigned to a sales executive. The sales process supports calling, follow-up management, and email or WhatsApp communication, then records progression through Lead, Interested, Materialized, and Order. The CRM supports the sales team; it is not presented as a replacement for human follow-up.
Integrations
The CRM integrates with Click4Exports, Meta, and Google Ads as listed project integrations. Click4Exports is an integration in this workflow. It is not the client, the project owner, or a results case study, and this page does not link to the Click4Exports internal-project record.
Operational Impact
The CRM was designed to centralize lead intake, standardize sales workflow, support structured follow-ups, and connect the lead lifecycle with downstream order, invoicing, payment and renewal processes.
No client conversion-rate, revenue, lead-volume, productivity or renewal-rate uplift is claimed here because those outcomes require verified client-side records.
Transparency / Evidence Note
No lead count, sales-team size, conversion rate, revenue, ROI, time-saved, duplicate-reduction or renewal-rate figure is published. Website/API, existing database, Facebook, Google Ads, Excel/CSV and manual entry are documented as intake sources, not as measured channel volumes. Cursor and Claude Code were development tooling, not production runtime services.
Client Anonymity
This is an anonymized verified-client case study about a global business. The client is not named because no written client-publication authorization for named identity is held in this repository.
